Key Responsibilities 1. Administration of Ethical Clearance Applications Responsibilities: Process all ethical clearance (EC) applications accurately and within set timelines. Allocate applications promptly to appropriate EC panel members. Organize EC meetings, including invitations, venue, and refreshments. Prepare clear agendas and take accurate minutes for EC meetings. Report on EC applications and related statistics as per agreed metrics. 2. Recruitment and Onboarding Responsibilities: Assist in recruitment and onboarding of postgraduate research candidates. Collect and organize all application documents for review. Arrange panel review meetings and communicate outcomes to applicants. Coordinate induction sessions and ensure all documents (contracts, etc.) are signed and filed. Provide regular reports on stakeholder engagement metrics. 3. Events and General Meetings Responsibilities: Organize virtual and in-person induction sessions for research candidates. Coordinate stakeholders’ consultative workshops, sessions, and events. 4. General Administration Responsibilities: Respond promptly to queries via email, phone, or face-to-face. Manage administrative databases efficiently and accurately. Follow up with candidates on induction attendance and return of signed agreements. Distribute relevant guidelines, templates, and resources to stakeholders. Support ad-hoc administrative requests from management. 5. Assistance with Ad Hoc Events Responsibilities: Support research initiatives and events as required (e.g., research committee meetings, student engagement). Minimum Qualifications and Experience Demonstrated experience in administrative coordination within an academic, research, or compliance environment. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems. Familiarity with research ethics processes or exposure to academic research administration (advantageous).
