COMPANY DESCRIPTION: Our client, a leader in optical lens manufacturing, is looking for an experienced Personal Assistant / Office Manager to join their team on a 6-month fixed term contract basis. This position reports directly to the GM. JOB DESCRIPTION / PURPOSE: Provide high-level executive support while ensuring efficient day-to-day management of office operations. The role combines administrative excellence with operational coordination to support business continuity. MAIN DUTIES & RESPONSIBILITIES: Executive Support Manage executive calendars, meetings, and appointments Screen calls, emails, and correspondence Prepare reports, presentations, and documents Report all positive and negative information that might impact the company to your manager and team, as soon as such information is received. Office Management Oversee daily office operations and administrative systems/tasks Manage office supplies, vendors, and service providers as and when required Ensure a professional, organised work environment at any given time Administration & Coordination Maintain filing systems and records for the GM (electronic and manual) Coordinate internal communication and assist in company events Assist with GM required/requested logistics and all administration Continue to uphold professional communications with full sentences, adequate punctuations, and grammar. Submit all relevant reporting Daily, Weekly, Monthly and Quarterly as required by the business on the required platforms or via the required mediums in a timely fashion, accurately and correctly so that no rework of reports is required by the management receiving the reporting figures. Self – Development Continuous self-development in the field of optics is required by the employee, both internal and external topics should be maintained for conversation, office maintenance and understanding purposes. Improve on internal company training as presented on the company's Hub, Learning Centers, Linked-In Learning and all other training platforms within the company. To play your part in ensuring minimal environmental impact from the business by reporting water leaks, electricity wastage, chemical spill or the possibility thereof Reduce any unnecessary paper usage within the Company Financial & Compliance Support Process invoices, track expenses, and assist with budgets Ensure compliance with company policies and procedures EDUCATIONAL REQUIREMENTS: Grade 12 Relevant Diploma or Degree advantageous EXPERIENCE AND SKILLS REQUIRED: 3 – 5 Years' experience in PA or Office Manager role Working well within a Team – Essential 3 Year minimum – High pressure, fast paced environment Excellent organisational and multitasking abilities Professional and Strong communication skills Professional discretion and confidentiality Professional Verbal and Written Communication Excellent Time Management and prioritization Excellent attention to detail Strong Problem-Solving Skills and initiatives Multitasking, working between different devices and screens, programmes, and webpages Multitasking, working between different departments and with various employees that have varying levels of understanding and training Can-Do attitude with willingness to learn and grow with the company TRAINING REQUIREMENTS: Basic optical training will be provided during the first 2 weeks.
