Role Purpose The Executive Assistant will provide high-level, confidential, and proactive support to the Head of Corporate Services, acting as his primary administrative partner and ensuring the smooth operation of his office. The EA will also offer occasional support to the Corporate Services leadership team (approximately eight senior leaders) to assist with team coordination, efficiency, and delivery of business priorities. This role requires exceptional organisational skills, strong judgement, professionalism, and the ability to operate in a fast‑paced, detail-driven environment. Executive Support to the Head of Corporate Services Manage complex and dynamic diary commitments and prioritisation. Act as a gatekeeper, triaging requests and safeguarding the Head of Corporate Services' time. Prepare briefing packs, agendas, and meeting materials. Draft, proofread, and manage correspondence and documentation. Coordinate travel and expenses. Track deadlines, actions, and strategic priorities. Handle sensitive and confidential information with discretion. Support to the Corporate Services Leadership Team Provide occasional diary and scheduling assistance when required. Assist with preparing documents, presentations, and consolidated reports. Coordinate team initiatives, workshops, and planning sessions. Maintain team resources such as distribution lists, shared drives, and organograms. Provide administrative support during busy periods or absences. Operational Coordination and Administration Manage information flow and communication across the Corporate Services office. Organise departmental meetings, including agenda coordination, minute taking, and action tracking. Liaise with internal stakeholders across the organisation. Support preparation of monthly reports, governance materials, and board‑ready documents. Maintain filing systems, records, and operational documentation. Project and Event Support Support project coordination, including meeting scheduling, document preparation, and tracking deliverables. Assist with planning and delivery of internal events, workshops, and leadership off‑sites. Contribute to process improvements and operational enhancements. Skills and Experience Required Significant experience as an EA or Senior PA supporting senior leaders, ideally within professional or financial services. Excellent organisational and planning abilities. Strong written and verbal communication skills with high attention to detail. High level of integrity and discretion in handling confidential information. Strong relationship‑building skills at all levels. Proficient with Microsoft Office and collaboration platforms.
