Full-time, Work Cape Town, Gardens Posted 1 week ago About The Organisation And The Role Hatfield Management Committee is the committee that oversees the operations of both the Samson centre campus and Gardens Community Centre. They are looking for an organised and efficient Facilities Co‑ordinator to join the operational team that looks after the two campuses to ensure the smooth running of the buildings, services and IT facilities. Main Duties & Responsibilities Facilities management assistance: Daily check in on general maintenance issues on campus. Ensuring maintenance schedules are kept up to date as well as contractor files. Scheduling and logging of service / maintenance related calls. Processing payments and compiling payment schedules for suppliers including schedule of overtime for maintenance staff (check overtime schedules to sign off). Provide general support with building‑related upgrade projects. Support (IT / Telecoms) assistance: Maintaining good relationships with tenants and liaising on service‑related requests as well as troubleshooting queries or complaints. Log service calls for Phone or IT‑related matters. General Administration: Managing the Driver – routing and assigning of deliveries – liaising with organisations. Scheduling of staff – driver, cleaning, maintenance when necessary. Monthly recons of recovery accounts. Ensuring invoices are processed and authorised. Serve as campus representative to clients who book events on the premises and ensure that there is a record of running order, suppliers, delivery schedules, etc and coordinate with event planners if necessary. (For large community‑wide events, may need to attend the event if necessary). General assistance with projects, day to day running of buildings and equipment. Purchasing of supplies, equipment, consumables. Setting up and attending meetings (if required) and taking minutes (HMC, Directors, Albow). Additional ad hoc operational administrative support as and when required. Required Skills & Experience Work experience and industry exposure. Minimum 5 years previous experience in facilities, coordination or secretarial/ administrative position in a fast‑paced working environment is essential. Exposure to operational and facilities management within a service‑driven environment would be highly advantageous. Strong Communication and Interpersonal skills. Excellent verbal and written communication skills with the ability to liaise with clients and service providers effectively. Strong inter‑personal skills with the ability to effectively communicate with people from all ages and stages of life. A confident and outgoing individual who is friendly and accessible. Able to manage difficult situations and personalities in a calm and rational manner. Patient and resilient, able to effectively respond to queries and deal with complaints. Excellent Administration and Organisational Skills. Highly organised and efficient individual who is able to manage conflicting priorities and shift gears effectively.
