Department: Pinsent Masons - Vario Employment Type: Full Time Location: Cape Town Description Responsible for driving technical and professional development within the Document Services team, ensuring high standards of document production, workflow coordination, and continuous improvement. Acts as a bridge between Cape Town and UK teams, supporting workflow management, delivering training, and embedding best practices. You'll Be Responsible For Skills Development & Training Identify training needs and skills gaps within the Document Services team, particularly for Cape Town-based colleagues supporting UK operations. Design, deliver, and evaluate training programmes for core document production tools and platforms, including iManage Work, Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), Microsoft Visio, BigHand Hub & Now, Kofax Power PDF, Audacity, 7-Zip, Definely, DocuSign, Templafy, Litera, Teams (including Call Queues), and Viva Engage (Yammer). Mentor and coach team members, fostering a culture of continuous learning and professional growth. Share best practices and new developments in document technology, house style, and workflow optimisation. Support the onboarding and induction of new team members, ensuring they are equipped with the necessary skills and knowledge. Workflow Coordination Support Oversee and coordinate document production workflow, including estimating, negotiating deadlines, logging, scheduling, and distributing tasks based on skill, availability, and urgency. Monitor project status, intervene as necessary, and ensure team coverage for all client requests. Escalate workflow or resourcing issues to the National Document Services Manager as required. Quality Assurance & Process Optimisation Oversee quality control checks on documents, ensuring alignment with corporate standards, client requirements, and service level agreements (SLAs). Refine and document processes to increase efficiency, reduce errors, and eliminate bottlenecks. Support the implementation of new tools, templates, and document automation solutions. Perform regular audits of document output and provide feedback to team members to maintain high standards. Collaboration & Communication Act as a key point of contact between the Cape Town and UK Document Services teams, ensuring seamless communication and alignment. Represent the Cape Town team in cross-location meetings, sharing updates, challenges, and successes. Build strong relationships with internal clients, responding to queries and taking ownership of requests. Communicate effectively with workflow coordinators, management, and peers to manage task lifecycles and capacity. Client Service Represent the firm positively in all client interactions, building strong internal client relationships and ensuring consistent service excellence. Use Microsoft Teams to assist clients directly via screen sharing when needed. Team Working and Personal Impact Share skills and contribute to high-quality document, promotional, and presentation output. Perform quality checks. Skills and Experience Proven experience in document production and workflow coordination. Advanced technical skills in iManage Work, Microsoft Office Suite, BigHand Hub & Now, Kofax Power PDF, DocuSign, Templafy, Teams, Definely, Litera, Viva Engage (Yammer). Ability to design and deliver training. Excellent organisational and communication skills. Strong technical proficiency in document tools and workflow systems. Excellent interpersonal and leadership skills. Ability to manage change and drive process improvements.
