The Branch Administrator oversees the branch’s administrative operations, ensures compliance with SOPs and company policies. The role includes managing petty cash, tracking attendance, coordinating stock counts, reporting to Head Office, and supporting the Branch Manager in operational and strategic initiatives. The Branch Administrator ensures operational efficiency, accuracy, and professional client service at the branch level. Key Responsibilities Supervise administrative support for the Branch Manager and Sales Team. Handling calls, emails, and client enquiries Preparing reports, spreadsheets, and presentations Supporting with stock counts, warehouse processes, and operational tasks such as couriers and inter‑branch transfers Accurate and timely record‑keeping Maintain warehouse process flow and oversee internal stock transfers. Prepare comprehensive reports and presentations for Head Office. Organize operational tasks, including couriers, inter‑branch transfers, and scheduling. Perform ad‑hoc duties to ensure smooth branch operations. Manage petty cash with accurate and timely reconciliation. Track employee time and attendance and submit weekly timesheets to Head Office. Coordinate, manage, and report on stock counts (daily, weekly, monthly, quarterly, yearly); investigate discrepancies. Maintain warehouse process flow and oversee internal stock transfers. Prepare comprehensive reports, spreadsheets, and presentations for Head Office. Liaise professionally with clients and maintain strong client relationships. Ensure adherence to SOPs, company policies, and accurate record‑keeping. Administer sales counter and process counter sales following due process as and when needed Process daily cash up report Handle all client card payments Ensure that delivery drivers’ documentation is checked prior to delivery and collated end of day Required Skills and Competencies Strong leadership, organizational, and multitasking skills. Excellent written and verbal communication skills. Proficiency in MS Office (Word, Excel, PowerPoint). Solid accounting/bookkeeping knowledge, particularly in petty cash management. Attention to detail and ability to enforce compliance with SOPs and company policies. Ability to supervise junior staff and guide them effectively. Key Performance Indicators (KPIs) Operational Accuracy: Ensure all branch reports, stock records, and petty cash reconciliations are accurate and complete. Timeliness: Submit stock count reports, timesheets, and operational reports to Head Office on schedule. Compliance: Achieve full adherence to SOPs and company policies across all branch operations. Staff Supervision: Junior Branch Administrator’s tasks are completed accurately, on time, and according to SOPs. Client Service: Maintain professional, timely, and effective communication with clients; resolve queries efficiently. Operational Efficiency: Ensure smooth branch workflow, warehouse management, stock transfers, and administrative processes. Problem Solving: Investigate discrepancies or operational issues promptly and implement corrective actions. Leadership and Development: Demonstrate mentoring and development of junior staff, contributing to team growth. Minimum Qualifications & Experience Matric 5+ years administration experience Strong interpersonal skills and a customer‑centric approach. Build and maintain good customer relationships.
