Executive Assistant to the EMD Position Overview We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a fast-paced, high-performance environment. This role requires exceptional professionalism, strong communication skills, and the ability to anticipate needs and stay several steps ahead. The Executive Assistant will be responsible for managing complex schedules, coordinating meetings and travel, and preparing high-quality executive meeting materials. The ideal candidate is resourceful, detail-oriented, and operates with a strong sense of urgency and discretion. Key Responsibilities Calendar & Scheduling Management Manage complex and dynamic calendars for senior leaders. Coordinate meetings across internal teams and external stakeholders. Prioritize competing requests and resolve scheduling conflicts efficiently. Ensure leaders are fully prepared with agendas and supporting materials. Meeting Coordination Schedule and coordinate internal and external meetings. Prepare meeting materials and track follow-ups as needed. Ensure seamless execution of meeting logistics. Executive Presentation & Meeting Materials Development Prepare, format, and refine presentations using PowerPoint. Support development of materials for internal meetings, leadership updates, and external presentations. Ensure all materials are accurate, polished, and professionally presented. Travel Coordination Arrange detailed domestic and international travel, including flights, accommodations, transportation, and itineraries. Manage last-minute changes and ensure smooth travel experiences. Expense Management Prepare and submit expense reports accurately and in a timely manner. Maintain proper documentation in accordance with company policies. Administrative & Operational Support Anticipate needs and proactively address issues before they arise. Serve as a point of coordination between leadership and internal/external stakeholders. Handle sensitive information with discretion and professionalism. Required Qualifications Proven experience supporting senior leaders or executives Demonstrated experience coordinating corporate events Strong experience preparing PowerPoint presentations and executive materials Excellent written and verbal communication skills High degree of professionalism and discretion Strong organizational and time-management skills Ability to manage multiple priorities with a strong sense of urgency Proactive, resourceful, and solution-oriented mindset Preferred Qualifications Experience in Financial Services, or professional services environments Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) Key Attributes Highly organized with strong attention to detail Exceptional anticipator of needs Calm and effective in fast-paced environments Reliable, proactive, resourceful, and execution-focused Strong interpersonal and coordination skills #J-18808-Ljbffr
