Office Administrator – Johannesburg (Ref JHB0105) JG Afrika is looking for an Office Administrator. The role is to perform various administrative, tender administration and office support tasks and to ensure the efficient operations within the branch. Duties and Responsibilities: Administrative and management support functions: Daily support to senior management and associated staff in their operational duties. General office administration duties including document preparation, proofreading, compiling meeting information packs, taking minutes, data capturing and verification. Assistance with capturing time and expense records, processing outputs and reports. Collating and reconciling monthly petty cash claims and forex usage. Assist with preparation and submission of invoices. Assist with preparation and finalization of contracts. Manage the supply and re-order of consumables in the office (e.g. computer supplies, stationery). Marketing: Assist with marketing aspects, including compilation and maintenance of project data sheets, project database, discipline profiles, client satisfaction process/records and related information. Project file / document management: Typing, proofreading, document control/quality compliance, information system capturing, indexing, organising, filing and storage of project documents. Tendering: Maintain CVs in long, short and World Bank formats. Stock key supporting documentation for tenders such as Tax Clearance Certificates and other company specific information. Obtain certified documentation and signed Resolutions. Maintain databases of Academic and Professional Certificates, Shareholder ID documents, Client reference letters for tenders, Letters of Appointment, tender methodologies. Update Branch/Team Organograms. Maintain/update the project experience schedules and project profiles. Search for National tenders on websites as per instruction from Technical Directors. Compile and submit National and International Tenders. Maintain a tender and proposal submission schedule and follow-up monthly. Qualifications: Must hold a valid driver’s license. Experience: A minimum of five years’ work experience in a similar role within an engineering consultancy would be a strong advantage. Skills: Demonstrated strong organizational skills with a proactive approach to tasks and responsibilities. Exceptional attention to detail and accuracy. Proven ability to perform effectively under pressure. Exhibit motivation, integrity, and teamwork, with a curious and open mindset and a commitment to continuous learning.
