A fast-paced PE backed organisation going through a period of strong growth and operational consolidation This role is responsible for ensuring the smooth day-to-day operation, maintenance, and functionality of the office environment. Serves as the first point of contact for visitors, manages office facilities and supplies, coordinates maintenance and repairs, supports stock and administrative functions Ensures a professional, safe, and well-equipped workplace for all employees and visitors Key Responsibilities Reception & Front Office Support Answer and direct incoming telephone calls professionally and efficiently. Welcome and assist visitors, clients, suppliers, and couriers. Receive, record, and distribute incoming packages and deliveries. Facilities & Maintenance Coordination Coordinate daily office maintenance and operational requirements. Monitor office facilities and arrange repairs for: Air-conditioning systems Electrical faults Plumbing issues Appliance servicing and repairs General office asset damages and malfunctions Liaise with landlords, maintenance teams, contractors, suppliers, and service providers to obtain quotations and schedule repairs. Ensure maintenance work is completed efficiently and within agreed timelines. Coordinate with Moonstone maintenance management and finance departments regarding building maintenance and operational matters. Office Operations & Administration Manage petty cash, including issuing, tracking, and reconciling office-related expenses. Maintain office stock inventory and ensure adequate levels of operational supplies. Manage the purchasing and replacement of office assets and equipment when required. Distribute stationery and workplace essentials to staff. Prepare meeting rooms for executive, management, and boardroom meetings. Arrange refreshments and catering for meetings and visitors. Support administrative functions within the registration department, including monitoring licence expiry schedules. Stock & Sales Support Assist with stock management related to paper sales and paper order requirements. Communicate with the sales department regarding stock shortages and replenishment needs. Support the sale and distribution process of paper stock to ensure uninterrupted client service delivery. Workplace Environment & Staff Support Supervise and coordinate cleaning staff to maintain a clean, hygienic, and organized office environment. Ensure the workplace remains professional, comfortable, and operational at all times. Support employee well-being by ensuring staff have the necessary resources and tools to perform their duties effectively. Build and maintain strong professional relationships with suppliers, contractors, couriers. Essential Skills, Knowledge and Experience Grade 12 / Matric certificate. Proven experience in office administration, facilities coordination, or a similar support role. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficient in Microsoft Office applications. Ability to work independently and manage multiple priorities. Strong attention to detail and problem‑solving skills. Preferred Knowledge of office facilities management processes. Basic financial administration and petty cash management experience. Strong coordination and stakeholder management skills. Ability to work under pressure in a fast‑paced environment.
