Job Description The Plant Admin. Assistant plays a key role in supporting plant management and operational departments by coordinating administrative functions. This role acts as a link between production, quality, HR, finance, EHS and Plant Manager within a fast-paced automotive environment. Education and Experience Grade 12 / Matric Diploma or Certificate in Administration, Office Management, or related field advantageous 2–3 years’ administrative experience in a manufacturing or automotive environment preferred. Responsibilities Provide administrative support to Plant Manager. Provide administrative support to Regional Ops Director. Daily supervision of the Company Driver. Prepare, review and distribute plant reports, presentations and correspondence. Order general office supplies (stationery) and manage salaried staff (PPE) when required. Monitor deadlines, follow up on action items and ensure completion of management requests. Support departments with internal and external audits (ISO/IATF/Customer/SHE audits. Attend weekly Plant Management meetings. Data preparation for weekly and monthly plant review by Senior Management (PowerQMS). Plant hospitality – Client visits, Senior management visits (Europe, China), Auditors. Assist with company events, meetings and employee engagement activities. Provide administrative support for projects, initiatives, and campaigns. Take full responsibility for the company credit cards. Expenditure & reimbursement of both the Procurement Card and Travel Card. Travel coordination: both local and international travel arrangements: visa requirements, flights, accommodation, transport. Vehicle bookings on the local Europcar portal. Liaise with internal departments and external service providers where needed. Compiling and distribution of the plant quarterly newsletter. Communicate notices, updates and management messages professionally. Liaise with Senior Management from Europe & China. Administrator of the Plant Access Control system (Vehicle and Visitor Access Other Ad Hoc requests of the Plant Manager Handle sensitive operational, financial and employee-related information with discretion. Ensure compliance with company policies, plant rules and ethical standards.
