Job Purpose The Corporate Document Controller will provide dedicated fixed‑term support for project document control activities across SharePoint and related document‑management platforms. The role is intended to assist with the organisation, review, classification, consolidation, uploading, tracking and ongoing maintenance of Project Documents. The successful candidate will support the clean‑up, structuring and ongoing document‑control activities required to ensure that project documentation is complete, accurate, easy to locate, and aligned with approved folder structures, naming conventions, metadata requirements and project governance standards. Responsibilities SharePoint Document Control Support Assist with uploading, moving, organising and maintaining Project Documents within the relevant SharePoint environments. Ensure documents are saved in the correct project folders and subfolders according to approved folder structures. Support the consolidation of documents where information has historically been stored across multiple locations. Identify duplicate, incorrectly filed, outdated or incomplete documents and escalare these for review. Assist with maintaining clean and user‑friendly document libraries to improve searchability and accessibility. Metadata and Naming Convention Management Apply and verify required metadata, including document number, title, revision, status, discipline/category, project name and other relevant SharePoint columns. Check that document naming conventions are applied consistently. Assist with correcting metadata gaps or inconsistencies where required. Support document tagging to improve filtering, reporting and project navigation. Document Review and Quality Checks Review uploaded documentation for completeness, accuracy and correct placement. Flag missing information, unclear document titles, incorrect versions or documents requiring confirmation from the relevant project team. Assist with tracking outstanding documents or actions required from contributors. Support version‑control checks to ensure the latest approved documents are identifiable. Consolidate related documents where required, including agreements and other documents where annexures, schedules, appendices or supporting documents are stored separately and need to be combined into a complete document pack. Tracker and Progress Update Support Assist with updating SharePoint lists, trackers and progress‑status information linked to Project document control activities. Capture progress updates against defined document categories, project areas or workstreams. Support the preparation of status updates for internal review meetings where required. Assist with identifying completed, outstanding and at‑risk document‑control items. Stakeholder and Team Support Liaise with internal teams to request missing documentation, clarify document ownership or confirm document placement. Support contributors with basic guidance on where and how documents should be uploaded. Escalate issues, blockers or unclear requirements to the Project Document Control Lead. Maintain a professional and service‑oriented approach when engaging with internal stakeholders. Compliance and Governance Support Help ensure that project documentation is managed in line with internal document‑control standards and project governance requirements. Support audit‑readiness by ensuring documents are traceable, consistently labelled and stored in approved locations. Maintain confidentiality when working with project, commercial, legal, financial or sensitive documentation. Key Deliverables Cleaned and organised SharePoint folder structures for Project Documents. Correctly uploaded and classified project documentation. Improved metadata completeness across applicable document libraries. Reduced duplicates, filing errors and unclassified documents. Consolidated document packs where annexures, schedules, appendices or supporting documents were stored separately. Updated progress trackers reflecting document‑control status. Clear escalation list of missing documents, unresolved issues and items requiring projectteam input. Improved document searchability and accessibility for project users. Minimum Educational Qualifications Grade 12 (Matric) or equivalent. Additional certification or training in document management, administration, or related fields will be advantageous. Minimum Previous Experience At least three (3) years of experience in Project documents control, administration, project support or records management. Experience in a project environment, preferably in the renewable energy sector (advantageous). Experience with SharePoint document libraries, metadata, version control and list‑based trackers. (advantageous) Other Skills Strong attention to detail and accuracy. Good working knowledge of Microsoft 365, especially SharePoint, Excel and Outlook. Ability to follow folder structures, naming conventions and document‑control procedures. Comfortable working with high volumes of documents and repetitive data‑checking tasks. Good written and verbal communication skills. Ability to work independently while escalating uncertainties appropriately. Familiarity with document‑control principles such as revision control, transmittals, status tracking and audit trails. Proactive in identifying gaps, inconsistencies and opportunities for improvement. Patient and consistent when working through large document sets.
