Job Title: Retail Facilities Manager Location Cape Town and Pretoria (Multi-site Portfolio) Job Purpose The Retail Facilities Manager is responsible for the full facilities management function across a multi-site retail property portfolio in Cape Town and Pretoria. The role ensures optimal building performance, operational efficiency, compliance, tenant satisfaction, and cost control. The incumbent manages service providers, oversees maintenance and capital works, ensures statutory compliance, and supports asset value preservation through proactive facilities strategies. Key Responsibilities 1. Facilities & Operations Management Oversee day-to-day facilities operations across multiple retail properties. Ensure all building systems (electrical, HVAC, plumbing, fire, lifts, etc.) operate efficiently and safely. Implement preventative and reactive maintenance programmes. Conduct regular site inspections and condition assessments. Ensure service levels are maintained in line with company and client expectations. 2. Contractor & Service Provider Management Appoint, manage, and monitor performance of service providers and contractors. Ensure adherence to SLAs and contractual obligations. Approve invoices and verify work completion. Conduct regular performance reviews and site audits. 3. Compliance & Risk Management Ensure compliance with all statutory requirements (health & safety, fire regulations, building compliance). Maintain updated compliance documentation and certification. Manage risk assessments and implement corrective actions. Oversee emergency preparedness and incident response procedures. 4. Budget & Financial Management Prepare and manage facilities operational budgets. Monitor expenditure against budget and control costs. Review maintenance expenses and identify cost-saving opportunities. Provide input into Capex planning and long-term asset maintenance strategies. Manage utilities consumption in collaboration with relevant teams. 5. Tenant & Stakeholder Management Maintain strong working relationships with tenants. Address and resolve tenant facilities-related queries efficiently. Liaise with property managers, operations teams, and asset managers. Support tenant installations and refurbishment coordination. 6. Projects & Capital Works Oversee small to medium Capex and refurbishment projects. Coordinate contractors during tenant installations and building upgrades. Ensure projects are delivered on time, within budget, and according to specifications. Monitor lifecycle planning and asset replacement schedules. Qualifications Degree or Diploma in: Facilities Management Building Science Electrical or Mechanical Engineering Property Studies Or related technical qualification Professional FM accreditation (advantageous). Experience Minimum 5–8 years’ experience in retail or commercial facilities management. Experience managing multi-site retail portfolios. Proven contractor and service provider management experience. Budget management and Capex exposure required. Experience operating across multiple geographic locations (advantageous). Knowledge Requirements Retail property operations.
